Mission:
Be the warm, knowledgeable point of contact that guides patients through their wellness and aesthetic journey—from first visit to long-term optimization.
You will:
- Greet patients in person and by phone with a professional, welcoming energy
- Manage check-in/check-out and ensure each patient understands their next steps
- Coordinate appointments, follow-up visits, and treatment plans
- Communicate between patients, providers, and the clinical team
- Provide basic education about our services (we’ll train you—no need to be an expert on day one)
- Help ensure the clinic runs on time and feels like a luxury, organized experience, not a chaotic office
You are:
- Exceptionally people-oriented with strong communication skills (in person, phone, text, email)
- Detail-oriented and able to juggle multiple patients and tasks without dropping the ball
- Comfortable learning new systems (EMR, CRM, texting platforms, etc.)
- Professional in appearance and demeanor—our patients notice everything
Bonus (not required):
- Experience in a medical, medspa, wellness, or aesthetics setting
- Bilingual (English/Spanish or English/Russian) is a plus
Mission:
Help patients say “yes” to the right care—ethically, transparently, and without pressure—while keeping their accounts clean, clear, and up to date.
You will:
- Discuss treatment plans, payment options, and memberships with patients
- Create and present clear estimates and agreements for services
- Process payments and set up financing or payment plans when appropriate
- Follow up with patients who have outstanding balances or paused care
- Work closely with the clinical team and leadership to meet revenue and retention goals
- Keep patient financial records organized, accurate, and audit-ready
You are:
- Confident, yet caring, when talking about money and investment in health
- Comfortable with high-ticket offers (packages, programs, and memberships)
- Organized with numbers, invoices, and documentation
- Able to handle sensitive conversations with empathy and professionalism
Bonus (not required):
- Experience with sales in healthcare, medspa, or elective treatments
- Familiarity with payment plans, financing, and recurring billing
Mission:
Turn interest into booked appointments by having warm, intelligent conversations with leads who inquire about our services.
You will:
- Call, text, and follow up with leads from social media, ads, referrals, and events
- Ask the right questions to understand their goals and match them with the right service or consultation
- Book consultations and follow-up appointments for our providers
- Keep the CRM updated with notes, next steps, and lead status
- Follow simple scripts and frameworks—then make them feel natural and conversational
- Collaborate with marketing and leadership to improve lead quality and show rate
You are:
- Comfortable on the phone and via text—no call anxiety
- Persuasive without being pushy; you know how to connect and build trust
- Consistent and disciplined with follow-up (you don’t forget to call back)
- Metrics-oriented—you like seeing your numbers and improving them
Bonus (not required):
- Experience as an appointment setter, SDR, patient coordinator, or front desk in a clinic or medspa
- Familiarity with CRM tools
